Job Title: Hub Administrator Location: St Albans Hub Line Manager: Business Manager Line Management Resp.: Admin Volunteers Hours: 9 am to 4.-00 pm - Mondays (unpaid 30 min lunch break) and 2 to 4.00 pm Tuesday to Fridays. 14.5 hours per week. Salary: £10.90 per hour (rising to £12 per hour from April 2024) Term: The role will start as a 12 month contract, with the intention of extended to permanent Job Pack Purpose of the role: To support the day-to-day operations and compliance of the hub, Volunteers, health and safety, and all customer service, including supporting the counsellors and ensuring the accurate recording, reporting and storage of client data. Main Responsibilities: Administration Client data inputting into CRiiS system for St Albans Hub, supporting other hubs when needed To organise and support the administration needs of the hub by identifying the tasks required and where appropriate, delegation to volunteers Provide a high level of analysis and support for client record accuracy Support the counselling staff with administering client journey records Hub Facilitation Provide a friendly and efficient welcome to the hub for all clients and visitors First Aid and Fire Marshal duties held Liaise with landlords, utility and facility providers when required Ensure cleaning, maintenance and general upkeep of the hub are maintained Provide support information following an enquiry Ensure all visitors follow health and safety requirements Deal with maintenance and compliance checks in the hub Manage the purchasing of goods and services for the smooth running of the hub, as agreed with the Hubs Manager Ensure safe storage of sensitive data and archiving Communications Ensure all policies and procedures are followed by staff and volunteers within the St Albans Hub Engage in discussions, training and data collection with the result of full compliance to policies and procedures. Update noticeboards and information displays for clients, volunteers and staff, to ensure compliance with policy and procedures Support and manage the health and safety of TLR local events and Hub fundraising efforts Liaise with external professionals Reporting Provide reports upon request to Hubs Manager, Executive Team and Data and Monitoring Officer Provide personnel information, notify absence and forward authorised admin volunteer expense claims to the Personnel and Finance Officer Keep records of petty cash and debit card expenses on the shared drive. Scan receipts, cash withdrawal slips for petty cash top-ups and invoices, and email to the Personnel and Finance Officer weekly. Training To undertake training as part of Continuous Professional Development, to ensure compliance and capability. Recruit, induct, train and support admin/ reception volunteers working in the hub General Requirements Be responsible for own health and safety at work and for the health and safety of colleagues and visitors. Hours: Bank - as and when required Salary: £14.73 per hour dependant on qualifications and experience Job Description Job Pack Counsellors trained to minimum of Level 3 are needed to help us deliver our services. Must have lived experience of recovery for our main group sessions or be specialist in a particular behavioural addiction. You should be a fellow of BACP or FDAP or working towards membership. If you are in recovery, you should have a minimum of 5 years of continued abstinence. All groups are facilitated by two counsellors practicing psycho-therapeutic, psycho-dynamic, person-centred and CBT approaches. You will be supported and will develop as part of a professional and innovative team. We work with our clients on their journey from triage to planned exit, so good IT skills are essential. You will receive great training from skilled professionals in group therapy and dynamics. The service will be delivered in one of our hubs in Stevenage, St Albans or Watford.
